SYSMD Healthcare – Streamlining Claims Processing with AI‑Driven Workflow Automation

Client

SYSMD Healthcare, a U.S. based firm specializing in revenue cycle management and medical billing services.

1. Context & Challenge

Prior to implementation, SYSMD’s billing operations faced multiple inefficiencies and compliance risks:

  • Claims processing was primarily manual, claims were routed by hand, creating uneven workloads and long queues.
  • Denial rates were high; many claims were flagged or rejected late in the workflow, leading to repeated resubmissions and delayed reimbursements.
  • Lack of real-time visibility: managers had to rely on retrospective weekly or monthly reports which were error-prone and lacked transparency.
  • Accounts receivable (AR) regularly aged past 60 days, resulting in cash-flow strain and financial unpredictability.
SYSMD Challenge

SYSMD required a robust, audit-ready workflow automation and analytics solution capable of handling large volumes, adhering to compliance standards, and delivering reliable throughput improvements.

2. Engagement Scope

MST Technologies was engaged to deploy its AI‑driven platform to address SYSMD’s operational pain points. Under Ahsan Sharif's leadership as project lead, the scope included:

  • Integration of claims processing data into a unified data pipeline, combining billing records, claims metadata, and denial history for analytics.
  • Design and implementation of a Predictive Denial Alert module to flag high-risk claims before submission.
  • Development of a Dynamic Work Allocation Engine, automatically assigning claims and rework tasks to appropriate staff based on capacity, skill level, and risk profile.
  • Deployment of a Live KPI Dashboard enabling real-time monitoring of claim status, AR days, denial rates, throughput, and resource allocation.
  • Implementation of audit‑logging and compliance controls to satisfy regulatory requirements and ensure traceability for every action.
  • Conducting training sessions and change‑management workshops with SYSMD’s billing and operations teams to embed the system into daily routines.

3. Role Attribution

Deliverables:

SYSMD After OptiPro AI
  • Translating SYSMD’s operational requirements into product specifications
  • Defining KPI targets (throughput, denial rate reduction, AR cycle time)
  • Designing the architecture for data integration and analytics workflows
  • Overseeing configuration, deployment, and compliance modules setup
  • Leading staff training and process transformation steering
  • Ensuring that the delivered platform met both technical robustness and business compliance requirements

Implementation, coding, UI, and system maintenance were handled by MST’s engineering team executing under the architecture and workflow framework established by our Head of New Business & Transformation Lead on the project, Ahsan Sharif.

4. Results (Measured after 6–12 months)

Following deployment and adoption:

  • ~20% reduction in claim denial rate through early detection and correction via predictive alerts.
  • ~40% increase in operational throughput, enabling more claims processed per day with existing staff.
  • ~25% reduction in administrative overhead, measured by decreased manual routing, fewer rework cycles, and reduced reporting load.
  • Improved cash-flow stability: average AR days reduced (“Days Outstanding” decreased), leading to faster reimbursements and improved working capital.
  • Audit-ready compliance achieved: every claim action logged, role-based access enforced, and workflow traceability ensured enabling regulatory compliance and internal accountability.

These outcomes are documented in SYSMD’s internal performance reports and billing cycle logs, with baseline data from pre-implementation phase and comparative data post-deployment.

5. Impact & Significance

This deployment demonstrates how an AI-enabled, workflow-automation platform can transform a labour-intensive, error-prone billing process into a data-driven, efficient, scalable operation. For SYSMD, this resulted in improved reliability, cost reduction, and sustained throughput improvements previously unattainable with manual methods.

More broadly, this case shows that MST Technologies can deliver high-quality SaaS-based solutions to international clients, meeting compliance, security, and performance standards required by U.S.-based firms.

It also confirms the value of cross-functional leadership combining domain understanding (revenue cycle management), technical architecture (data pipelines, analytics), and project execution (deployment, training, compliance) in delivering real-world digital transformation outcomes.
